The primary responsibility of the Administrative Assistant is to provide administrative and office support for Core Operations within Retirement Plan Services (RPS).  This includes covering facility needs, management needs, and staff needs, in the primary Overland Park location as well as he secondary locations where staff is located.

Primary Responsibilities

  • Manage incoming calls for the Head of Core Operations.  This includes taking messages and replying to callers who include but are not limited to JPM staff including senior/executive management and RPS clients (predominantly Corporate Plan Sponsors and their constituents).  Ensure the staff's phone system and coverage protocols are in place.
  • Calendar management for the Head of Core Operations which includes: (i) scheduling internal/external meetings and appointments, (ii) coordinating conference calls (iii) securing conference rooms, (iv) preparing agendas, (v) staging the meeting room, (vi) ordering food and beverages, and (vii) ensuring communication links.
  • Welcome and provide support to clients, vendors, consultants during on-site visits.
  • Participate in management team meetings and take notes as
  • Facilitate the hiring process including scheduling interviews and when an individual is hired, requesting PCs, credit cards, systems access, etc.
  • Coordinate travel arrangements (air, hotel accommodations and ground transportation); preparing detailed itineraries and assuring the accuracy and timely delivery of plans/tickets for the Head of Core Operations.
  • Facilitate expense reports by inputting and verifying expense documentation, submitting these for review and approval via expense management protocols as well as ensuring the timely submission through the expense reimbursement process.
  • Maintain department equipment (fax machines, copiers, printers, etc.), including the ordering and re-orders of all office supplies.
  • Assist with cross department overflow, special projects and coverage for the Reception Desk.

  • Minimum 3 years experience in a senior administrative role.
  • Bachelor's Degree preferred.
  • Excellent oral and written interpersonal skills.

  • Excellent at multi-tasking and prioritizing deliverables.
  • Exceptional follow-up and follow-through skills.

  • Ability to learn/use proprietary software.
  • Hours are regularly 8am-5pm CST and overtime may be required.
