A Scheduler will be responsible for handling a high volume of scheduling requests and inquiries in support of the Internal and External Life and Annuity wholesaling team. In addition will be asked to deliver on other administrative departmental needs as capacity allows including but not limited to:

 

  • Mail merge and call-outs for lunch in learn or other meeting attendance
  • Tracking state licensing and facilitating renewals
  • Coordinating special broker mailings
  • Updating SalesForce for non-selling advisors
  • Tracking/recording items to the gift log
  • Tracking/registering attendance at CE events

 

Primary Responsibilities

Schedules appointments in SalesForce for the internal and external wholesaling team. Requests for appointments will be obtained through incoming emails and voicemails.  Partners with Securities Compliance and sales teams ensuring that certain FINRA/State Regulatory related activities are appropriately administered.

 

These activities could include but are not limited to:

 

  • Tracking gifts to brokers to ensure company policies are maintained
  • Recording continuing education credits and submitting to appropriate parties; and ensuring sales team have active licenses in the states in which they are selling.
  • Provides support to the administrative support team ensuring that incoming broker invoices are quickly submitted to Accounts Payable for processing
  • Must be able to manage a high volume of requests and be able to prioritize
  • Ability to communicate clearly to ensure schedules are updated appropriately ensuring that wholesalers can react to conflicts, changes and last minute requests timely and efficiently
  • Ability to talk and type while actively listening
  • Autonomy - Will take direction from manager and sales team. Will have some flexibility and general autonomy on project and administrative work, however outcomes will be clearly defined and predictable
  • Internal and External Contacts – Internal and External wholesaling team, advisors and/or broker dealers

Qualifications

  • Bachelor’s degree or equivalent work experience
  • Knowledge of SalesForce database a plus
  • Knowledge of Microsoft suite of products, especially Excel
  • 1-3 Year Financial Services experience preferred
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills; able to effectively manage priorities and workflow
